Plan together in minutes

From a rough idea to a shared project timeline in minutes

Most project tools ask you to set up workflows, fields and permissions before you write down a single task. Timeline Studio starts you on an empty Gantt chart and gets out of your way.

  1. Write down the work

Add tasks right on the timeline and drag them into place. Group them under initiatives, epics and features as the plan grows, mark the dates that matter with milestones, and track status and progress on every bar.

  2. Connect what depends on what

Draw a dependency from one task to the next and the arrow follows the work. Move a task and everything after it moves too. Switch on the critical path to see which chain of tasks sets your finish date.

  3. Bring the team in

Invite people by email and plan together. Everyone sees each other's cursors and who is editing which bar, and changes from teammates show up without a reload.

Budget & costs

Keep the plan, the hours and the budget together

Give each person a cost rate and assign their hours to a task. Use schedule-based hours or enter your own estimates, then log time as work happens. Labor and expenses roll up into one project budget.

See what the plan is expected to cost, how much budget is left and the projected profit and margin. Editors can log time without seeing private rates. Budget & Costs is available when enabled by an administrator.

  • Team cost rates and planned hours per person
  • Time logs, expenses and expected final cost
  • Budget, client price, profit and margin
  • Financial details are private by default

AI timeline assistant

Ask about your plan. Review the changes before they happen.

Ask what is blocked, move a phase by two working days, add a milestone or link existing tasks. The assistant uses the current timeline as context and shows the proposed edits for you to review.

Applied edits live in Changes & undo. Undo recent changes in reverse order for up to 24 hours; later timeline edits may prevent undo. Clear context resets the conversation while keeping that history. Uses your own API key; administrator enablement is required.

  • Ask about blocked work and the current timeline
  • Shift dates, update progress, create tasks and link dependencies
  • Review exact edits before applying
  • Separate change history with undo for up to 24 hours

What-if simulation

Try what-if scenarios before you change the real plan

A supplier slips. A client wants the launch a week earlier. Someone asks what happens if two people are away at once. Switch on simulation mode and try it: drag dates, change durations and rearrange dependencies in a sandbox. Every task that depends on the change moves with it, so you see the knock-on effect straight away.

Like the result? Apply it. Don't? Exit, and the real plan is exactly as you left it.

  • Changes stay in the sandbox until you apply them
  • Dependent tasks move with every change
  • Broken dependencies are flagged before you apply

Team workload

See your team's workload before anyone is overbooked

Small teams wear many hats, which makes it easy to put the same person on three things in one week. Give each task a team and planned hours. Capacity is calculated from those hours and the project’s working days. The workload panel shows each person’s peak load by week, with meters that make overbooking easy to spot.

Expand a person to see their assigned tasks and dates, then jump back to the work. Overbooked tasks also get a red badge on the Gantt chart so you can move work or share it out.

  • Multiple people and planned hours on each task
  • Weekly peak load and expandable assigned tasks
  • Over-100% warnings on the timeline itself

Working-day scheduling

Schedule around real working days, weekends and holidays

Not every team works Monday to Friday, and a two-day job that starts on Friday doesn't finish on Saturday. Set a work week for each timeline, add your own holidays, or add national public holidays in one click for the US, UK, Germany, France, Canada, Poland or Ukraine.

Turn on “Skip days off when scheduling” and task lengths, dependency shifts and the critical path count working days only. Days off are shaded on the Gantt chart, and adding a holiday offers to shift the tasks it affects.

  • Any work week, such as Sunday to Thursday
  • Holiday pills in the date header
  • Right-click any day to make it a day off

Import

Import a plan from Jira, MS Project or CSV

Your plan probably exists somewhere already: in a Jira project, an MS Project file or a spreadsheet. Bring it with you. Timeline Studio reads Jira CSV exports, MS Project XML files, CSV files and cells pasted from Excel or Google Sheets, and keeps the hierarchy, links, assignees and dates.

You match the columns, see a plain list of anything it had to adjust, and fix names and dates before the timeline is created. Files are read in your browser.

  • Up to 100 rows and 200 links
  • MS Project work weeks and holidays come across
  • Export to CSV and import it back unchanged

AI project planner

Draft a project plan with AI, using your own key

A blank page is the slowest part of planning. Describe the project in a few sentences, pick a start date and preview a draft: tasks, dates, dependencies and effort ranges, with the assumptions behind them. You review and edit every row, and nothing is created until you say so.

The planner runs on your own API key from Anthropic, OpenAI or Google. The key is encrypted on our server and never sent back to your browser, and only the brief and start date go to the provider. Your provider bills AI usage directly.

  • Works with Anthropic, OpenAI and Google models
  • Review tasks, dates, dependencies and effort ranges
  • Token use and estimated cost shown with each draft

AI status updates

Turn recent progress into an update you can share

Keep stakeholders informed without rebuilding the story from memory. Use your own AI key to turn recent timeline activity into a draft update, then review it and copy it into your usual communication tool.

Recent updates stay in the panel for seven days, so your team can reopen and copy the same summary.

  • Summarize the last week, two weeks or month
  • Completed work, changes, risks and next steps
  • Copy into email or Slack
  • Reopen recent updates for seven days

Collaboration

A roadmap planner your whole team can share

Planning works better when the people doing the work can see the plan and talk about it in the same place. Switch the same plan between a Gantt chart timeline, a Kanban board and an outline list, so everyone gets the view that suits them.

Invite people by email with the right role. Comment on any task and @mention a teammate, chat with the whole timeline or one person, and check the activity feed to see who changed what. When others have the timeline open, you see their cursors and the bars they are editing. Share files, react to messages and see when someone is typing. Searchable task notes, pinned notes and Project Notes keep decisions close to the work.

  • Can edit, Can comment and View only roles
  • Team chat, 1:1 messages, reactions and file attachments
  • Live cursors, presence and activity history
  • Mentions and assignments notify by email
  • A view-only public link when you need one

For every kind of team

Built for small teams in any field

Timeline Studio doesn't assume you write software. If your work has dates, handoffs and more than one person, it fits.

  • Product & software teams

Plan a release from initiative down to subtask, bring the backlog in from a Jira export, and keep the critical path in view as scope changes.

  • Agencies & studios

Keep each client project in its own tab, share a view-only link for sign-off, and spot who on the team is booked twice next week.

  • Event planners

Work back from a date that can't move. Dependencies show which bookings have to land before invitations, catering and travel can go out.

  • Construction & trades

Schedule crews on your real work week and holidays, so a three-day job never quietly lands on a day off. Try a late delivery in simulation first.

  • Research & academia

Map grant milestones, fieldwork and writing on one timeline, and see what a delayed result does to everything after it before you report it.

  • Marketing & nonprofits

Line up campaigns, launches and programs with a small team and volunteers, and give each person the access they need: edit, comment or view.

How it works

Three steps to a shared project plan

  1. Start a timeline

Sign up, then start blank, open the sample project with its 30-second tour, import a file you already have, or describe the project and let the AI planner draft it.

  2. Shape the plan

Drag bars to set dates, link dependencies, assign people and set your working days. Try the risky changes in simulation before you apply them.

  3. Share it and keep it current

Invite teammates as editors, commenters or viewers. Comments, chat and live updates keep everyone working from the same plan.

FAQ

Frequently asked questions

Is Timeline Studio free?

The Free plan includes one timeline of your own and one shared timeline, with up to 100 tasks and 5 people per timeline. Other usage limits apply. AI tools use your own API key from Anthropic, OpenAI or Google, so your provider bills that usage directly.

Who is Timeline Studio for?

Small teams in any field that need a shared plan without a heavy tool: product and software teams, agencies, event planners, construction crews, researchers, marketing teams and nonprofits. If your work has dates, dependencies and more than one person, it fits.

Do I need to set anything up before I start?

No. Create an account and you can add tasks straight away, open a sample project with a 30-second tour, or import a plan. There are no workflows, custom fields or permission schemes to configure first.

Can I import a plan from Jira, MS Project or Excel?

Yes. Import a Jira CSV export, an MS Project XML file, a CSV file, or cells pasted from Excel or Google Sheets. Hierarchy, dependencies, assignees and dates come across, and you review any warnings before the timeline is created. Imports take up to 100 rows and 200 links. Save .mpp files as XML and .xlsx files as CSV first.

What is what-if simulation?

Simulation mode is a sandbox for your plan. Move dates, change durations and edit dependencies to see what would happen, then apply the changes, or exit and leave the real plan exactly as it was.

Can I schedule around holidays and a custom work week?

Yes. Each timeline has its own work week, such as Sunday to Thursday, plus your own holidays and one-click national public holidays for the US, UK, Germany, France, Canada, Poland and Ukraine. With “Skip days off when scheduling” on, task lengths, dependency shifts and the critical path count working days only.

How does the AI project planner work?

Connect your own API key from Anthropic, OpenAI or Google, describe the project and choose a start date. The planner drafts tasks, dates, dependencies and effort ranges for you to review and edit, and nothing is created until you confirm. Only the brief and start date are sent to the provider. Your key is encrypted and never sent back to the browser.

Can AI change an existing timeline?

Yes, when the AI Timeline Assistant is enabled by an administrator and you connect your own API key. Ask questions, shift dates, update task status and progress, create tasks or milestones, and link existing tasks. Review the exact changes before applying them. Recent AI edits can be undone in reverse order for up to 24 hours; later timeline edits may prevent undo. Clear context removes conversation and pending previews while keeping undo history.

Can I track project budgets and time?

Yes, when Budget & Costs is enabled by an administrator. Set team cost rates, assign planned hours per person, log time and add expenses. The budget summary shows estimated costs, expected final cost, remaining budget, profit and margin when the necessary rates, estimates and client price are provided. Financial details are private by default; editors can log time without seeing private rates.

Can my team work on the same timeline at the same time?

Yes. Invite people by email as Can edit, Can comment or View only. Everyone sees each other's cursors and who is editing which task, and changes from others show up without a reload. Comments with @mentions and a chat for each timeline keep the discussion next to the plan.

Can I export my timeline?

Yes. Export the timeline as an image for slides and reports, or as a CSV file that opens in any spreadsheet and imports back into Timeline Studio unchanged.

Does it work on phones and tablets?

Yes. Timeline Studio runs in the browser on desktop, tablet and phone, so you can check the plan or answer a comment from anywhere.
